Showing Questions Based on a Form Submiter's Answers

    on my "3 CHOICES WHEN ORDERING GEAR" form i'm attempting to set up three different ways our customers can order their gear and one of the ways i would like to require the customer has a P.O. number or purchase order number, is there a way to bring that into my form, also you will notice the second option requires them to place 50% down, is this a possibility too?

    Hi Byron,

    I understand you are looking to have a text box if the user selects the option "DIRECT ORDER W/ P.O" in the Single choice options field. This is possible using the Show/Hide field conditions with the Short text field. Doing that is easy. Let me show you how:

    1. On your My Forms page, hover your mouse over your form and click on Edit Form.
    2. In Form Builder, click on the Add Form Element menu and drag-drop the fields you want to use as follow-up questions (Short Text fields are used in this example).
    3. Click on the Type a Question text and change it to the question you want to use.

    Now, let's set up the conditions:

    1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
    2. Click on Conditions on the left of the page.
    3. Now, click on Add a New Condition and then click on Show/Hide Field.
    4. Set the conditions like you see below:

    great thank you, now if my customer want to build an online store we have a service that does this for us but i need to collect the products they would like to setup in a store. So is there a way to set it up where they some how choose all the products they want for an online store and it sends us that information with no payment needed? does that make sense?

    correction sorry, they would have already given us that information in one of our previous forms the "mock up request form" so if they click the online store option on the "3 choices to order" form how can i get the products they want to us for setting up online store. I hope i didn't just confuse you to death with that.. i'll make a mind map showing the process and send it to you...,

    Hello nearfall806,

    Unfortunately, this feature is not available in the product list/payment widget. As a workaround, we need to incorporate a single choice field where the form user can choose whether they would like to sell the products or not. So if they choose "Yes", we can then hide the payment/product list field using a conditional logic and instead show a multiple choice where you can put all the products available for retail. This way, they can just put a check on the product that they want to sell. Here's an example:

    Please note that you need to Hide the Multiple Choice. Here's the formula for the Conditional Logic:

    Hello nearfall806,

    I just wanted to confirm the flow chart that you sent us. First, they need to fill out the first form which is the Order Gear. Then you will redirect them to the second form which is the Mock-ups Request Form.

    Can you explain a bit more about your feedback so I can get a better idea of what's happening? Why didn’t you like Jotform Approvals? Did you have any difficulties or get any error messages when you were using it? If you did, can you take a screenshot of what’s happening and send it to us? This guide will show you how to do that.

    We've made a small guide explaining the main aspects of Approval Builder that you might find helpful.

    1. Create Your First Approval Flow

    Let me walk you through the 3 ways to do it.

    Using Form Builder page to create an Approval Flow:

    • In Form Builder, click on the Downward Arrow icon next to Form Builder at the top left corner of the page, and click on Approvals.
    • This will automatically create an approval flow for your form and you can start adding the elements you want to your Approval.

    Using Settings page to create an Approval Flow:

    • In Form Builder, click on Settings in the orange navigation bar at the top of the page. 
    • On the left side of the page, click on Approvals. Then, click on Create an Approval Flow

    Using My Approvals page to create an Approval Flow:

    • On your My Approvals page, click on Create Approval at the top left corner of the page. 
    • Choose the type of approval you want to use and then click on it to go to Approval Builder

    2. Connect Elements to an Approval

    • In Approvals, click on the Add Element menu on the left side of the page. 
    • Click on an element to add it to your approval flow. 
    • To connect them easily as an outcome of a decision, hover your mouse over the Approval Decision Email and click on the + button and drag and drop it onto your element.

    3. Adding Logic Elements to Your Approvals

    You can easily use these elements to eliminate or approve the submissions you receive to fasten the process. 

    • In Approval Builder, click on Add Element + menu on the left side of the screen. 
    • Then, under the Logic Elements tab, drag and drop the element you want to use between the other elements.

    4. Customize Approve or Deny Email

    • Hover your mouse over the email you want to customize and then click on the Letter icon
    • Under the Email tab, customize the email. Then, click on Save.

    5. Send Reminder Emails to Approvers

    You can easily enable Reminder Emails for approvers to remind them to take action. Here’s how to do it:

    • In Approval Builder, click on one of your approver fields, and then click on the Gear icon to open Approve and Sign Properties.  
    • Under the Advanced tab, toggle Send Reminder Emails option to the On position.

    6. Requiring log in to approve submissions:

    To make sure the person who takes action is from your organization, you can enable the Require Login to Approve option. Here’s how to do it:

    • In Approval Builder, click on one of your approver fields, and then click on the Gear icon to open Approve and Sign Properties.  
    • Under the General tab, scroll down and enable or disable the Require Login For Approver option.

    7. Easily Manage Approvals in Inbox

    In Jotform Inbox, you can see the Approval Status of your submissions and easily Approve or Deny them. Here’s how to do it:

    • In Approval Builder, click on the Downward Arrow icon at the top left corner of the page and select Inbox.
    • In Inbox, choose a submission and then you can either Approve or Deny it.

    You can also Filter the submissions by their Approval Status. Let me show you how:

    • Click on Filter at the top of the submissions and choose Approval Status, then choose Equals, and then choose Approved for example.

    The team gear quote request is really just for the customer to get pricing, but i t does have a link to go to the mock-up team gear form where they give us the bulk of the info we need, once they submit that form it uploads to "redbooth" which is our job management system, from there our artist design the mock-up, they then use our "submit to customer form" to send the customer their mock-up (which is also where i use the approval work flow you spoke about) once approved it needs to go to our "3 choice form" where they decided how they want to receive their gear and how to pay, this is also where i need to be able to auto populate the info we got from the back on the "mock-up gear request form" like the clothing they are wanting and the customer info, cause no one wants to enter that info in but one time right? this then gos into production.

    Hello nearfall806,

    Form Prefill allows you to prepopulate your form fields with data from the Mock-Up Gear Request Form to your 3 Choice Form. While this requires manual setup in your form, it saves users time when filling in the same data they previously submitted. It's really easy. Let me show you how:

    1. In Form Builder, in the orange navigation bar at the top of the page, click on Publish.
    2. Click on Prefill in the menu on the left side of the page.

    4. Select the source form from the dropdown and map the fields accordingly.
    5. You can map more fields by clicking the Add More link.

    How would you suggest i handle doing the profile on the widget "image picker" we need the items they pick from the "Mock-up Request" & the Colors They picked from the same form... I can't seem to get the profile to work on those two items?
