Trattamento dei dati personali

Domanda del 11 giugno 2024 alle ore 12:32

    Buongiorno!

Un utente dell'app che ho creato con Jotform (e che mi sta dando un po' di problemi) esige delle risposte a queste domande. Vi chiedo il vostro aiuto.

    1 - Come vengono raccolti, archiviati e trattati i dati inseriti nell'app.

    Grazie!

    Hi Scuola_del,

Our Italian Support agents are busy helping other Jotform users right now, so I'll try to help you in English using Google Translate, but you can reply in whichever language you feel comfortable using. Or, if you'd rather have support in Italian, let us know and we can have them do that. But, it might take a while until they're available again.

Now, coming back to your questions, let me answer each of those:

As for your question 1 and 2:

    • Each data is stored within Jotform's data centers. Jotform has a very powerful cloud of secured servers. This provides security protection against malicious attacks like SQL injection and denial of service (DOS) attacks. We also provide a very high security level throughout our hosting provider's servers for stored data, and all of our SSL certificates support high-grade 256-bit encryption.

For your question 3: Whether your data is shared with third parties and, if so, with whom?

    • Please note that the data will only be shared with other third-party software if the form owner integrates it with other services. You can visit this link for the list of integrations.

For your question 4: If and how can you access, modify, or request deletion of your data?

    • Please note that any access, modification, and request deletion are done only by the form owner through the Jotform tables, which are included for each form. If you think that the form owner is collecting sensitive personal information, please note that each account must follow our Terms of Use. If our system detects that the form owner violates the Terms of Use, it will automatically suspend the account and disable the form.

For your question 5: How is compliance with the GDPR regulations relating to the protection of personal data guaranteed?

    • Please note that Jotform complies with the GDPR (General Data Protection Regulation). The GDPR is now the standard for consumer data protection rights, and Jotform templates help you comply with these new data protection standards. Anyone can keep their data in the EU data centers if they choose to. If you are from the European Union (EU) or doing business within this region, you must store your forms and data in the EU data center. By default, Jotform automatically sets the account created within the EU region compliant with GDPR. You can check out details in GDPR Compliance.

Let us know if you have any other questions.

    Thank you!

I'll read it through and come back if I need more detailed answers.

The guy asks me to have all his data stored inside the app deleted.
Is it enough if he just deletes his account by himself?

Or do I have to do anything else?

    Hi Scuola_del,

Yes, you can delete all the data on their account by deleting their account. Here's how to do it:

    1. On the My Forms page, click on your avatar or profile picture in the upper right corner of the web page.
    2. Click on the Settings option.
    3. Click on the Accounts tab on the left side of the page. Trattamento dei dati personali Image 1 Screenshot 60

    Hello!

Where are the data of my users currently stored?
    In the USA or Europe?

    Hi Scuola_del,

I checked your account in our system and saw that you are an EU user. This means that all user data from your forms are stored in the (European) EU Server.

When a user creates an account in Jotform, is the GDPR automatically activated?

    Hi Scuola_del,

Yes, All collection of personal data, including the use of account creation, is compliant with the GDPR (General Data Protection Regulation) (and the UK version of the GDPR). The GDPR is now the standard for consumer data protection rights, and Jotform templates help you comply with these new data protection standards. You can check more about GDPR compliance here.

If a user that has filled in my forms deletes his account, will his forms submitted in my archive be deleted automatically, or do I have to delete them manually?

  • Jefferson Jotform Support
Risposta del 14 giugno 2024 alle ore 12:19

    Hi Scuola_del,

Please note that creating a Jotform account is optional and depends on the settings in your form. This means that a user without a Jotform account can still fill up your form. If a user deletes their account, the forms submitted will still remain in your Submission Table, and you need to manually delete it on your end as a form owner. We also have the Auto-Delete Submission feature that automatically moves the submissions received from a form to Trash. This can be useful if you’re transferring your form submission data to a 3rd party service or to your custom setup via API or Webhooks where the entries kept in Jotform become unnecessary.

Let us know if you have any other questions.

I've the "auto-delete submission" set after 90 days for all my forms, but I see the submissions in the archive still there after a period longer than 90 days. Does it mean that the deletion is not applied to the answer in the archive?

    Hi Scuola_del,

Unfortunately, archiving an entry does not delete it. Let me show you how to permanently delete submission data:

    • From the My Forms page, click on your Form and select the Submissions button on the toolbar above.
    • In your form's tableselect the related submission and click on the delete button at the upper right corner of the page

Note that you'll have to delete them from your trashed entries to delete them from your account permanently. Permanently deleted submission data can no longer be recovered.

    • Click on the 3-dot icon on your tab name, and click on Trash Entries.
    • On the menu that will come up on the right, select the submission and click Delete permanently.

Permanently deleted submissions can no longer be recovered. Please consider keeping a backup of your submission data by downloading them as EXCEL/PDF/CSV or integrating your form with Google Sheets so you'll have a backup of your data in the Cloud. We also have a guide on How to Download Form Submissions as Excel, CSV, or PDF that you can check out.
