Workflows often include tasks that combine online tracking with offline actions, making it important to coordinate both seamlessly. Think about issuing a parking pass to a new employee. While handing over the pass happens offline, it still needs to be tracked as part of the onboarding process to make sure nothing is missed. The same goes for industries like car repair, event planning, or human resources. Tasks like vehicle inspections, delivering equipment, or getting signatures often happen offline but are just as essential to keeping the workflow on track.
That is where the Task element in Jotform Workflows comes into play. This feature makes it easy to track, assign, and complete offline tasks right alongside digital ones, ensuring every step is included. With Task elements, submissions turn into actionable workflows, keeping everything organized, improving accountability, and helping processes run smoothly from start to finish.
Adding the Task Element
Follow these steps to add the Task element to your workflow:
- In Workflow Builder, click on Add Element on the left side of the screen to open the Workflow Elements menu.
- Under the Basic tab, drag and drop or click on the Task element to add it to your workflow.

Setting Up Task Element
After adding the Task element, follow these steps to start setting it up:
- Click on the Complete Settings button on the Task element in your canvas to open Task Properties.
- Under the General tab, enter a title and description. It will be the header and subheader of the Task Action page.
Creating and Connecting Outcomes
You can create additional Task outcomes for your workflow in the Task Properties. This allows you to redirect the workflow to the next correct step based on different outcomes of the event.
Click the Form Fields dropdown to automatically assign the task to the email in your original form.

How to Customize your Task
- If you want to further customize your task, click Customize.
- From there, you can add any questions associated with the task, and add a header or a thank you page.
- You can even customize your task notification emails! Toggle the switch to enable and disable notification emails. Then click edit to customize your notification email.
- Customize like any other Jotform notification email. Click Save when you’re done.

Is there a way to pass info from the task completion form to the next task? Example: Task is "Issue Parking Pass," but when viewing task, there is a short text field asking for "Unique Pass ID" that is required for submission. Currently, I cannot figure out how to pass these fields into the next workflow phase.
