How Do Approvers Complete Their Tasks?

Jotform Workflows simplifies the approval process by allowing your approvers to quickly review requests and decide whether to approve or reject them. When your workflow is triggered by a successful form submission, approvers are notified via email. These emails contain approval buttons, allowing them to complete tasks directly from their inbox without navigating multiple pages. This streamlined process saves time and ensures approvals are managed efficiently and conveniently.

When your approvers click one of the approval buttons in their email, it opens the approval assigned to them in Jotform Inbox and automatically completes the task. If the Go to Inbox button is available, they can use it to open and complete the assigned request there.

Your approvers must be logged in to their account to do this. Otherwise, they will be prompted to sign up or log in when they click any of the approval buttons in their email.

They can sign up for or log in to an account linked to the same email address used for their approval. This lets them track approvals assigned to them within their account.

Completing Approvals Without Logging In to an Account

Your approvers can also complete their tasks without logging in to an account. Follow these simple steps to disable the login requirement for them:

  1. In Workflow Builder, click on the Gear icon on the right of the Approval element in your workflow to open its properties. 
  2. Next, scroll down to the bottom of the General tab and toggle the Require Login for Approver property to the Off position to disable it.

If your workflow doesn’t require approvers to log in, they will be redirected to the Approvers Action page when they click any approval button or the Go to Inbox button in their email. From there, approvers can manually approve or deny the request.

Enabling Additional Approval Actions

You can require your approvers to add a comment before completing the approval and allow them to reassign their task to another person and request more information about the submission. To enable these options, follow these steps:

  1. In Workflow Builder, click on the Gear icon on the right of the Approval element in your workflow to open its properties. 
  2. Next, go to the Advanced tab and toggle the Require Comments, Reassign, and Request More Information properties to the On position to enable them.

Require Comments

Your approvers can add a comment when making an approval. This comment will appear under the Approval Step outcome, which will be included in the submission. The comment can also be included in the email sent to the person who submitted the request after the approval. If the Require Comments setting in the Approval element of your workflow is enabled, approvers must enter a comment first to complete the task.

Reassign

When this Approval element property is enabled in your workflow, your approvers will see a Reassign button next to the approval buttons of the Approval Step in Jotform Inbox.

This allows them to reassign the request to another person, up to three times, by sending it to that person’s email address in the Reassign modal window.

Request More Information

This allows your approvers to send an email to the person who submitted the request or anyone else to ask for more details about the submission before completing the task.

In the Request more information dialog box, approvers can customize the subject and content of the message, adjust email settings, and add form fields or attachments. The email will also include an Edit button, which the requestor can use to update their submission.

Notes

  • The Reassign and Request More Information features are only available when approvers complete their approval tasks in Jotform Inbox while logged in to their accounts.
  • Approvers can add multiple recipients and remove Jotform Branding from the Request More Information email by upgrading their account. Learn more in How to Upgrade Your Account.
  • The Request More Information dialog box resets to its default settings each time you open it.
