How to automatically reassign the approval if the person apporving is not available?

Bonjour, est-il possible de créer une grille de structure corporative et que l'app détermine l'approbateur selon cette grille en fonction du demandeur ?

    Merci d'avance

    Jacques

    Hi Jacques,

Thanks for reaching out to Jotform Support. Unfortunately, our French Support agents are busy helping other Jotform users at the moment. I'll try to help you in English using Google Translate, but you can reply in whichever language you feel comfortable using. Or, if you'd rather have support in French, let us know and we can have them do that. But, keep in mind that you'd have to wait until they're available again.

Now, let me help you with your question. I apologize for the confusion on your question. Can you explain it a bit more so we have a better idea of what you are trying to achieve? Also, can you confirm if you will be using a Jotform App? Or a regular form? If it is the Jotform App, keep in mind that approval flow cannot be set up on the Jotform App. You need to set up the Approval Flow first on your regular form and then covert that form to an app.

Once we hear back from you, we can move forward with a solution.

    Hello,
The idea is simply to base the approvers as per an orgchart or table listing the approvers based on the requestor. That table can be dynamically maintained so when a person in on vacation, the approvals can be routed to another responsible person.
    Thanks in advance
    Regards
    Jacques

    Hi Jacques,

Thanks for getting back to us with additional information. We actually have an Approval feature. In this feature, you have the option to escalate the task to someone else after a specified amount of time that the approval is not Approved/Denied. Let me show you how to set it up:

    • In Form Builder, click on Settings in the orange navigation bar at the top of the page.
    • On the left side of the page, click on Approvals. Then, click on Create an Approval Flow How to automatically reassign the approval if the person apporving is not available? Image 1 Screenshot 30
    • Now that you have created the Approval Flow, click on the Approval element, and click on the Gear icon.
    • Then, go to the Advanced tab, toggle ON the Escalation, and enter a specific time and the email address of where the task will be escalated. That's it.How to automatically reassign the approval if the person apporving is not available? Image 2 Screenshot 41

If that’s not exactly what you’re looking for, can you explain a bit more, so I can help you better?

Once we hear back from you, we'll be able to move forward with a solution.

    Hello,, not quite.
The ide ais to ha aa table or matrix with all employees and their bosses. Depending on the requestor ID, the approver can vary based on this table
    I hope that helps ?

    Hi Jacques,

Thanks for getting back to us with additional information. If I understand that problem correctly, the approver will depend on the form name of the form filler, is that correct? If so, unfortunately, we cannot achieve this using the input table. But, we can achieve this using a dropdown element. Let me show you how:

    1. In Form Builder, add a Dropdown element and enter the names of the employees in the option.
    2. Then, add an Email element, and add a conditional logic so whichever is selected in the employee dropdown, the email of their approver will be listed in the Email element.

    Check out this demo below:

Once you have this setup, you can use the Email field in the Approval Flow, so whichever email is listed will be the approver of the submission.

You can achieve the same result by listing the names of your employees and their approvers in an Excel file and uploading that file into the Spreadsheet to Form Widget. We have a guide here on How to Use the Spreadsheet to Form Widget for more information.

Reach out again if you have any other questions.
