    Goedemorgen,

    We zijn aan het onderzoeken of we op grootschalige wijze gebruik kunnen maken van jullie oplossing. Nu lopen we tegen enkele dingen aan.

    1. Na het invullen van Forms willen we een mail laten verzenden waarin het declaratieformulier zoals Jotform deze genereerd (niet het PDF) als 1e bijlage opneemt en daarna pas de file uploads die iemand heeft gedaan. Nu wordt het Jotform document opgenomen als laatste document. Kan dit anders? (Zie bijlage 1)
    2. Waar wordt de data die binnenkomt opgeslagen? Welke servers, waar?

    We zijn als kantoor op zoek naar een oplossing waar medewerkers op de link drukken, gegevens invullen en deze als 1e bijlage + overige uploads als bijlage in PDF bij een mail worden verzonden. Is daar een oplossing voor?

    Hi Ricardo,

    Thanks for reaching out to Jotform Support. Our Dutch Support agents are busy helping other Jotform users right now, so I'll try to help you in English using Google Translate, but you can reply in whichever language you feel comfortable using. Or, if you'd rather have support in Dutch, let us know and we can have them do that. But, it might take a while until they're available again.

    Now, coming back to your question, currently, it's not possible to change the order of attachments in the email notifications. However, we can suggest a workaround. You can create a separate email for the declaration form and another email for the file uploads. This way, you can control the order of attachments. Let me walk you through it:

    1. In Form Builder, in the orange navigation bar, click on the Settings tab in the orange navigation bar at the top of the page.
    2. In the menu on the left side of the page, click on Emails.
    3. Hover your mouse over the Notification Email element and click on the Pencil icon.
    4. Under the Advanced tab, toggle Attach PDF to the On position, and select the PDF file you created.
    5. Now, scroll down, click on Save, and you're done.

    We understand your requirement for a solution where employees can fill in data and receive an email with the declaration form as the first attachment, followed by other uploads in PDF. While we can't change the attachment order, we can suggest using conditional logic to send separate emails based on specific conditions. It's easy to set the Email notifications based on the answers from form submitters. I'll show you how:

    • In Form Builder, in the orange navigation bar at the top of the page, click on the Settings.
    • In the menu on the left side of the page, click on Conditions.
    • In the list that pops up, click on Change E-mail Recipient and set a logical condition like the ones below:

    • Now, click on Save and you're done.

    Regarding your second question, your data is stored in our secure servers. Since you're currently using the EU server, your form data will be stored in our European servers in Frankfurt, Germany, run by Google. You can find more information about our data storage and security measures here.

    Thank you for your answer. For us, 2 seperate emails is not a solution. We need 1 email with all the attachments and the first one needs to be the leading document with the filled in answers by the user.

    There is no solution for this, right?

    Is it in any way (with the help of a technical department?) to make an XML file of the answers and send this and the other documents within 1 email? This would be an solution too. Then the documents doesnt have to be the first one in email.

    While the feature you’re looking for isn’t currently available, rest assured we’re always working to add new services and features to Jotform. I've gone ahead and escalated your request to our Developers. When or if it's implemented depends on their workload, how viable it is, and how many other users request it.
