How to hide form elements from submission PDF and autoresponder email

    Hallo zusammen,

    ich möchte gerne ein Formular erstellen, indem Kontaktdaten und Fragen ausgefüllt werden. Sobald es ausgefüllt ist, soll eine Kopie erstellt werden mit den Angaben des Formulars zzgl. eventuellen Textanweisungen zu den gegeben Antworten.


    Bsp:

    Name

    Adresse

    Telefonummer

    Frage mit Ja/Nein Option:

    Bei NEIN kann das Formular eins zu eins kopiert werden.

    Bei JA müsste es das Formular einmal in dieser normalen Ausführung geben ohne extra und eine zusätzliche Kopie in der man die Option hat einen Befehltext erscheinen zu lassen wie z.B: "JA = Ruf die Feuerwehr!"


    Ist soetwas möglich?

    Now, let me help you with your question. To verify, do you want to show a warning when the form fillers chose Yes on your selection? If so, that can be achieved by adding a Paragraph element and adding a Show/Hide Condition. Let me show you how to do that:

    1. In Form Builder, click on the Add Form Element menu on the left side of the page.

    3. Click the Pencil Icon on your Paragraph Element. Add your text and customize.

    Now that the custom message has been created, we can now set up the conditions:

    1. Open your form in Form Builder, and in the orange navigation bar at the top of the screen, click on Settings.
    2. On the left pane, choose Conditions, then click Add Condition.

    danke für die Antwort, entspricht nicht ganz dem was ich meinte.

    Die Einstellung habe ich bereits getroffen.

    Ich erkläre noch einmal anhand eines Beispiels:


    Mitarbeiter füllt diese Checkliste aus.

    Tasse kaputt?

    Ja

    Nein


    Er gibt JA an. Die Checkliste geht so an den Kunden.

    Aber die Liste für den Mitarbeiter zeigt in einem verborgenen Text, wo er die Tasse nachbestellen soll. Diese Info soll aber nicht mit dem Kunden geteilt werden. Sprich zwei Varianten der Checkliste die ausgespielt werden sollen.


    Ich hoffe ich konnte es so besser veranschaulichen.

Can you share the link to your form and share a screenshot of what is it that you are trying to do? Check out this guide about how to send a screenshot to our Support Forum.

    Hi there,

    I try to explain the case in English maybe we can get to the solution quicker.

    I will share the link from my form so you have the example I will explain on.

    I want to create the case, that our team can fill out some customers cases and questions.

    When there is an answer where our team has to get active e.g. they have to call somebody or have to order some new things to fix the problem, that a message appears (in this example, if you click yes, there appears the task to call the fire brigade or the adress where to order new parts or things). But I don't want the customer to get this intern task/information in the summary email and also not in the PDF what will be send out to him.

    I hope you can understand my case better now.

    Hi LG,

    Thanks for getting back to us. To avoid showing certain form fields to your customers, you can delete them from the Autoresponder Email. Let me show you how:

    • In Form Builder, in the orange navigation bar at the top of the screen, click on Settings.
    • Click on Emails on the left side of the screen.
    • Hover your mouse over the Autoresponder Email and click on the Pencil icon.

    • Under the Email tab, select the row that you want to delete and then click Delete Row.
    • Finally, click on Save.

    Now, let's remove the certain field from the PDF.

    1. In Form Builder, click on the Downward icon next to the Jotform Logo.
    2. Select PDF Editor from the options.

    3. Select the form field you'd like to delete and then click on the Trash Can icon. That's it.

      Note that you can create a different submission PDF to be shared with your form respondents. To do that, click on the + New PDF and then select New PDF Document.

    I need a little more information about your statement pertaining to creating a case. Can you clarify if someone from your team is the one filling out the form?

    thanks for the information. Do I understand it right, that in this solution I have to rework every single PDF which will be created from this form?


    Yes, in this case our team will be filling out the form. So the customer should get only a copy of the main answers which will be taken but not the instruktion which could be behind one of these answers. As I wrote in the last message.


    Only our team members should get the instruktion as mentioned in the example in the last message.

    So we need two types of informationsheets which will be forwarded once to the customer and one to the team oder teammember.

    Is there a solution or coding which works so theres no more postprocessing necessary. We want to keep it as simple as possible.

    Hi LG,

    I'm sorry for the confusion. No, once you updated the PDF, the old and future submissions will be recorded the way you formatted the PDF. As noted in my earlier reply, if you want you want to keep your current PDF format, you can create a new one. Just make sure you will attach the correct PDF that will be sent to your customers. Here's how to do it:

    • In PDF Editor, click on + New PDF and then select New PDF Document.

    • Customize the fields to be displayed in the PDF. You also have the option to rename the file.

    • Now, click on the Downward Icon next to Jotform Logo and then select Form Builder from the options.

    • In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
    • Click on Emails in the menu on the left side of the page.
    • Hover your mouse over the Autoresponder email then click on the Pencil icon.
    • Under the Advanced tab, check the checkbox next to the correct PDF.
    • Finally, click on Save.
