How Sterling Administration uses Jotform Enterprise and AI to ensure the safety of seniors

Alex Tellez of Sterling Administration, an independent administrator for health savings and similar accounts, uses Jotform Enterprise to provide a simple solution to a complex problem: providing healthcare to seniors.

According to the Centers for Disease Control (CDC), falls are one of the leading causes of injury-related deaths among adults ages 65 and up. When Tellez set out to create a system to help seniors prevent falls, he saw Jotform Enterprise as the tool he needed.

Tellez combined Jotform Enterprise with his years of experience designing artificial intelligence (AI) solutions for dating apps and CRM systems to develop a solution. “We’re a heavy AI shop,” says Tellez. “What we’re doing requires a lot of processing after data capture. Jotform Enterprise is an integral front-end tool for ingesting data.”

Using Jotform Enterprise, Tellez created a form that allows anyone to upload and submit a video of a person walking. Once submitted, the video is sent to Google Cloud using an API. From there, an AI tool Tellez created can measure and assess their gait and balance.

“An eight-second video can contain as many as 300 unique frames,” says Tellez. “Each frame captures multiple points of interest that enable us to track how each point moves over time and how that contributes to the likelihood of a fall.”

Working with physicians and orthopedists, Tellez designed a system to intelligently measure key gait indicators (such as head-bobbing, posture, body angles, and body symmetry) and generate a unique report based on the values captured in each video.

“In 3–4 minutes, we can output an AI-generated report that includes that individual’s risk of falling, exercise recommendations, and diagnoses codes that care providers and physical therapists can use to inform treatment,” says Tellez.

Streamlining the collection and flow of data

Sterling Administration is glad to say goodbye to the days of customers mailing in paper forms.

Simplifying reporting and reducing medical costs

Sterling Administration also uses Jotform Enterprise’s native reporting features to support internal processes and decision-making.

“When our CEO wanted to know about the types of devices our customers used to fill out our forms, we could easily pull that data from the Admin Console,” says Lee.

How Jotform Enterprise and AI are supporting the future of healthcare

The physicians, orthopedists, and medical directors Tellez works with all agree that AI is here to stay, and giving people the tools to self-diagnose and track their progress is the future of care.

“The question was,” says Tellez, “How can we make this a tool that will benefit people?”

Many seniors have limited mobility or access to transportation, making it difficult to access healthcare. Others are resistant to in-home care because they are wary of strangers.

“Using Jotform Enterprise and AI is a convenient way of delivering care,” says Tellez. “It’s not rocket science. We’re just trying to prevent people from falling.”

Even so, sometimes Tellez needs a helping hand. “I give the Jotform Enterprise support team high marks for resolution time,” he says. “Sometimes I work until 11 p.m., but no matter when I ask for help, I hear back quickly.”

Maintaining flexibility and security with HIPAA solutions

Sterling Administration uses two instances of Jotform Enterprise. One instance gives teams the flexibility to perform AI analysis and share data, while the other stores HIPAA forms and information with limited, traceable access.

“Meeting HIPAA compliance standards is critical for our industry,” says Lee. “Our Jotform Enterprise HIPAA instance prompts us to think about the safety precautions we need to take to protect our users’ data, so we maintain that level of security at all times.”

Jotform Enterprise even enables HIPAA controls at the form field level. “It’s very convenient,” Tellez says.

Taking the next step with Jotform Enterprise

Looking ahead, Tellez plans to use Jotform Approvals to expand his solution.

“People want another page on our report saying what we think is appropriate, so they can request that item from their doctor, order it, and send the bill,” says Tellez.

If a senior doesn’t get a good gait score and is at high risk of falling, their physician may order durable medical equipment (DME), like a cane. Using Jotform Approvals, Tellez’s report could connect the recommended DME to an approval flow, enabling the patient to request DME from their physician, who could then approve the request, trigger an order, and bill the insurance.

“It would spare people navigating a complex system and reduce costs when the DME is doctor-prescribed,” he says.

How Jotform Enterprise opens doors for solution providers

Sterling Administration takes full advantage of the ability to customize its forms, whether it be working with designers to create a specific look or simply pasting in a logo.

“The white labeling features of Jotform Enterprise make it easy to create custom and co-branded forms for our clients,” says Lee. “Enabling that brand recognition ensures people aren’t alarmed when they go to fill out our forms.”

Tellez sees a tremendous future ahead as more people use no-code form-building, automation, and AI to build sophisticated yet simple systems that people value.

“There are so many creators who could use Jotform Enterprise as an easy front door,” he says. “And many will ask, ‘Now that I’ve gotten you to walk through that front door, what can I do that will be of value?’ That’s our future.”
