Hello,
To assist you correctly, may we ask for additional details regarding this requirement? If a user cancels, do you want other users to be notified?
If, in any case, I have misunderstood your concern, please do not hesitate to let us know and give us more details about your requirements.

Users cannot cancel themselves I will cancel for them. How can I cancel their appointment without deleting the submission all together?

Hello purestformdesigns,
Thanks for getting back to us. Unfortunately, it is not possible to change/edit the Approval Status. If you'd like to send a cancellation email to the guest after the submission has been approved, I would suggest adding a Send Email button on your Jotform Table. Doing that is easy. Let me show you how:
- First, create an Autoresponder Email for the cancellation email that you would like to send.
- Once the Autoresponder Email has been created, go to your Jotform Table by clicking the Form Builder menu at the upper left corner of your screen beside the Jotform logo.
- On the Jotform Table, scroll to the right and click on the +Add column button.
- Click on the Buttons tab, select Send Email, and click on the Next button.
- Enter the Column Name and click on the Next button.
- Select the Autoresponder Email you created and click on the Create Column button.
- And then you'll be able to see a new column that will allow you to send the emails to the guest.
That's it. Let us know if you have any other questions.
