I'm not receiving email notifications from my Approval flow.

    Hi team,

    I’ve tested my New Guest Questionnaire form numerous times and never get the reply email I have set up in my approval flow. Everything seems to be set up correctly on the back end, so I’m wondering what the issue is. If you could help me look into this, I’d appreciate the help.

    Additionally, when setting up a new Zap in Zapier, I got an error message that read something like “Jotform 3.2.1 is deprecated and cannot be used”

    Any insight on this?

    Hi Tara, 

    You're not receiving emails from Jotform because it has been added to the bounce list for several reasons. It might be because the address is non-existent or inactive, your mail server is unavailable, your email server rejected emails due to suspected spam, your mailbox is full, or Jotform is on your deny list. We have a guide here that you can check to learn more about this.

    Additionally, I have removed your email address from the bounce list. To prevent this from happening again, you can ask your email service provider to whitelist Jotform's IP and email address. You can now test again and you should now be able to receive emails.

    Hi Roland , thank you for your help with this!
    While this helps me test my systems with my own email address, how do I ensure that my prospective clients don’t experience this same thing? Are you aware of anything I can do to make my approval flow reply emails less likely to bounce or end up in spam?

    Hi Tara, 

    Sure, you can use your own sender email address using SMTP to reduce the risk of spam. To add the Sender email please follow the steps and screenshot below:

    1. On your My Forms page, click on your Avatar/Profile Image on the top-right side of the page.

    2. Then, from the menu that opens, click on Settings.

    3. Click on the Add Sender Email button.

    4. Now, enter the information as you see below:

    5. When you're finished, click on the Test Email button to make sure that everything is working. If it works, click on Save Email. If not, please check the details again and correct any errors.

    Hi team,

    now that I'm receiving submissions for the last form in this thread, ( https://form.jotform.com/220495931539160 ) the auto reply emails in the approval flows are not going through.

    I've tested seven times and the selected auto reply has only been received once.

    When the approval flow does work and I receive the email associated, I'm not receiving the submission of this form:

    (which is present in every auto reply)

    Regarding our last communication about smtp, what should the host name be?

    smtp.gmail.com does not work when I use my gmail address. Additionally, should the host name be the same if I use my domain email address? I'm getting the attached error message. Im not receiving email notifications from my Approval flow Screenshot 20 Screenshot 10

    Hi Tara, 

    In this case, the hostname and other SMTP settings can vary depending on the email service you are using. For example, if you're using a Gmail address, the SMTP host is usually smtp.gmail.com. Although, if you're using an email address with your domain, you would need to use the SMTP host provided by your email service provider.

    I recommend contacting your email service provider to confirm the correct SMTP host, port, and any required security settings (such as SSL or TLS). If you're using a domain-specific email, the provider will give you accurate SMTP settings for smooth integration.
