Add a PDF and have agent approve it

    Hi!

    We offer a service that creates “Just Listed” cards for agents. We’re working on an order form and need a way to send a proof to the agent. I think we could embed the PDF proof in the dashboard (edit form), but it needs to be reusable.


    I also want to use the submit button as an approval or rejection button, but I can’t change its action.


    We need a way to add a PDF to a Jotform outside the dashboard. With 100 offices and 100 admins, logging in to embed and send the proof isn’t feasible.


    Any ideas on how to use Jotform for proof approval?

    Hi Select Group Real Estate,

    Thanks for reaching out to Jotform Support. Do you mean that you would like to allow people to embed a PDF as a proof on the form and let other people approve it? I would suggest you to use Upload File field to allow people upload the PDF and create Approval Flow for approve or deny the submisson. Let me show you how to create the field of Upload File:

    Then, create Approval Flow. Let me show you how:

    1. In Form Builder, go to Settings at the top navigation bar.
    2. Select Approval Flows in the left panel.

    Hi,

    Thanks for your reply. I tried to add the file uploader, but it creates a link. I need the image to show inside the form then send the image to the agent to proof before we order the cards. I found this template:

    and it would work great. But the admin are not in the Jotform dashboard and cannot create Jotforms so they cannot add image from the elements and send out. Is there a way for me to send this template to each admin and they upload their own image that will embed in the form and send to agent?

    Hi Select Group Real Estate,

    If I understand it correctly, you want the admins to upload their own image that will embed on their form? Is that correct? If so, unfortunately, you cannot have different images that will be shown on different admins using the same form. The admins can upload images on the form but they cannot modify it. If you want to have different images for each admin, I recommend adding the admins in a Dropdown field and show the images intended for them. Let me show you how:

    1. In Form Builder, add a Dropdown field and add the admins as options.

    2. Click Settings on the orange navigation panel.

    3. Tap Conditions on the left panel.

    4. Add a Show/Hide Field condition to show/hide the images intended for each admin.

    Hi Thank you this is helpful. But this would be done from the Form Builder, correct? So I would have to have the image and upload it to the form?

    Is it possible for me to provide the Proof Template Jotform Link to the admin and they upload an image that embeds within the form and then they share the form to an Agent to approve the proof?


    Can you show me how an admin can upload images on the form and not as an attachment or link that goes with the form when shared to an agent?

    Hi Select Group Real Estate,

    Yes, uploading the images has to be done in form builder by the admins. You can add the admins as collaborators on the Proof Template form so that they can upload an image, then show/hide that image by conditional logic and will only show depending on the admin selected by the respondent. Let me show you how:

    I. Adding the admins as collaborators

    1. On the top right side of the Form Builder page, click on Add Collaborators.
    2. In the window that pops up, click on Copy Link and you're done.

    II. Show/hide that image by conditional logic and will only show depending on the admin selected by the respondent.

    1. On your My Forms page, hover your mouse over your form and click on Edit Form.
    2. In Form Builder, click on the Add Form Element menu and drag-drop the fields you want to use as follow-up questions (Short Text fields are used in this example).
    3. Click on the Type a Question text and change it to the question you want to use.

    Now, let's set up the conditions:

    1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
    2. Click on Conditions on the left of the page.
    3. Now, click on Add a New Condition and then click on Show/Hide Field.
    4. Set the conditions like you see below:
    • IF: Do you have a dog or a cat? (this is the question that has the choice that the form submitter needs to select)
    • STATE: Is Equal To
    • VALUE: Dog (the first choice)
    • DO: Show
    • FIELD: What is the name of your dog? (the follow-up question that you want to show)
