How to send an email to a different recipient via conditions?

This is a general question not related to any form in particular but on the attached from the question is relevant.

when the form is submitted it goes to a shared mailbox for action. The bottom entry in the form is to indicate when additional work is needed by internal staff. If I were to put a drop down with all staff members is there a way to alert that specific staff member only if the work required has their name selected. I suspect it is by conditional logic around notification emails but can't quite work it out.

as an example - comments and requests for internal team members results in work for me (Tony). if I add the dropdown and select Tony can Tony be alerted to the submission?

    Hi Tony,

Thank you for reaching out to Jotform Support. You can use conditional logic to send an email notification which only triggers when the condition is met. Using the dropdown field named "Adviser or staff name", we can create a condition to send an email condition where we define the email address for the recipient. Let me show you how:

    1. Go to the conditions section of the form builder settings.
    2. Click the + add condition button.
    3. Select the Change email recipient option.
    4. Apply the following rules shown in the screenshot below: How to send an email to a different recipient via conditions? Image 1 Screenshot 30You can select which email to send by selecting on the SEND dropdown selection.
    5. Finally, click the Save button: How to send an email to a different recipient via conditions? Image 2 Screenshot 41 Please check out this guide on how to send an email based on a user's answer.

If you have questions, please let us know.

Thank you for your help. I am able to change the email recipient just fine. I don't want to chance the normal recipient of the email under any circumstances. What I want to do however is if a condition is met an additional alert (most likely email) is sent to a separate email address as well as the normal notification rather than 'instead of'.

is there a logical way this can be done please

    Hi Tony,

Thank you for clarifying. It is possible to create a separate email and send only when a condition is met. Let me show you how. First, create a new email by following the steps below:

    1. Go to the email settings by clicking on the account logo/avatar and select settings:How to send an email to a different recipient via conditions? Image 1 Screenshot 50 2. Then click the + Add Sender email button:How to send an email to a different recipient via conditions? Image 2 Screenshot 61 3. Finally, fill out the required information, and click the save button: How to send an email to a different recipient via conditions? Image 3 Screenshot 72Please check this guide on how to set up email notifications.

For settings up the condition, you can use the same method I demonstrated previously, and select that new email notification, and when you select that email, it will pull the email recipient defined when the email was created. Please refer to the screencast below:

late in the day for me to try to do this but Ill be back with the outcome thank you

    2 questions

1 - are you able to confirm that by setting it up this way the additional email will not over ride the delivery of the normal standard notification.

2 - taking it to the next stage, is there a way the email to the staff member can include the text in the text box for the work they are required to do?

I am going to update a clone and test it - thank you

    Hi Tony,

No, it will not override the delivery of the standard notification email. As long as the standard notification is not attached to any condition, it will be sent together with the conditionally sent notification.

For your second question, are you referring to adding a form field in the notification email? Can you take a screenshot of the field you are referring to? We have a guide about how to do that here.

Once we hear back from you, we'll be able to move forward with a solution.
