Approval flow: Is it possible to have separated the emails based on the state entered in the form from the user?

    Hi,

I am new to the approval functionality. Is it possible to have separated the emails based on the state entered in the form from the user?

For example, in my branch, if a user submits a form saying they are from Delaware, Maryland, or Washington DC, I would want to receive the email for approval. But if someone from the Los Angeles branch had a user in California, I would want them to receive the approval email instead of me.

    Thank you

    Hi Héloïse,

Thanks for reaching out to Jotform Support. Yes, you can set different email approvers for each scenario. Let me show you how to set that up:

First, we need to create an approval flow:

    • In Form Builder, click on Settings in the orange navigation bar at the top of the page.
    • On the left side of the page, click on Approvals. Then, click on Create an Approval Flow Approval flow: Is it possible to have separated the emails based on the state entered in the form from the user? Image 1 Screenshot 70

Second, let's Set Up a Conditional Branch:

    • In Jotform Approvals, click Add Element button and add the Conditional Branch element to your workflow.
    • Click the gear icon to open settings. Approval flow: Is it possible to have separated the emails based on the state entered in the form from the user? Image 2 Screenshot 81
    • Add the following conditions:Approval flow: Is it possible to have separated the emails based on the state entered in the form from the user? Image 3 Screenshot 92

Third, add a second Approval element or duplicate the first one and configure them by clicking the gear icon. You can add the Approver's email and edit the notification email from there: Approval flow: Is it possible to have separated the emails based on the state entered in the form from the user? Lastly, map the conditional branches accordingly to their respective approvers: Approval flow: Is it possible to have separated the emails based on the state entered in the form from the user? Image 5 Screenshot 114
