Link online form to PDF

    Good day,


    I have an existing online form. Since creating the form I have received a request to have the information from the form populate onto a new company pdf form. How do I link my existing online form to the new pdf form?

    Hi Quinton,

    Thanks for contacting Jotform Support. You cannot directly link an existing online form to a PDF form. But there's a workaround.

    1. You can first import your company PDF form into your Jotform account using our Smart PDF form builder as explained here:

    1. On your My forms page, click Create form.
    2. Select the Import form option.
    3. Click on Import PDF form.
    4. Upload your PDF form in the next step.

    2. After that, you can use the Field Manager app to copy the fields from your existing online form into this new created form using the Smart PDF form builder.

    Please give it a try and let us know how it goes.

    I got as far as adding the field manager app and selecting the fields, but that's where I got stuck, abandoned the idea using the existing online form and rather created a new one. And now stuck there too, but that's for another ticket. Thanks for the help.

    Hi Quinton,

    I reviewed the form where you uploaded your new PDF, and it appears that you correctly added and mapped the form fields to the PDF. However, I looked, and there seems to be a configurable list widget on the form. Unfortunately, you cannot map that widget to a PDF. The workaround for this is to set up those fields as basic fields. Let me show you how:

    • In Form Builder, select Add Form Element in the upper-left corner.
    • In Form Elements, add 1 Date Picker, 4 Short Texts and Time field.
    • Then, right-click and Shrink the fields to place them side by side.

    Now, since your PDF contains seven flight information fields. We simply need to duplicate those fields six times and show them conditionally, where we add a dropdown option and let the user to select how many more to add. 

    • Select all of the fields we just created by pressing Ctrl + left mouse, and a menu will appear at the top.
    • Select Duplicate, After Field, and then select a Field then click Duplicate. To minimize confusion in the conditions, replicate those fields six times and add something unique to the field label.

    • Next, add a Dropdown element and insert the numbers 1-6 in the options. 

    Link online form to PDF Image 3 Screenshot 112 After we added the fields that were needed to the form. We will now create a Show/Hide field condition and display the Flight fields based on the input in the dropdown. 

    • Go to Settings at the top.
    • Select Conditions on the left.
    • Add a new Show/Hide Field condition.

    Here's what the conditional logic looks like if a user selects 1 from the dropdown:

    I'm kinda speechless.

    Thank you for the advice. I've since increased the table lines to 14 due to the number of legs some people travel, but I get the gist of what you did. Thank you.

    I tried clicking on the link to the demo form, but it takes me back to a form with the configurable table in.

    I'll have a crack at what you went and did in a fraction of the time I've been working on this form. If I get stuck I know where to look for answers.

    Success. Thank you Ericson. It was alot easier than I anticipated, but 14 lines later my form is done. Thank you all for your guidance.
