Attachments on forms

    Good Afternoon,


    On my 2 forms :

    HTGM Deposit Accounting Resident Refund Checklist

    HTGM Deposit Accounting Resident Applicant Checklist


    I have it setup to attach the attachments initially submitted on the jotform checklist.

    It was working before (See example from Catrina) But when I just spoke to another employee Ana she says that she has not received any attachments with her approval email.

    How can I fix this , it is creating more work for the managers and when they click the link on the approved document it does not show them as having access to Jotform.

    I just ran a test on this for myself and only received one attachment .

    Thanks for reaching out to Jotform Support. I cloned and tested your form. I was able to receive all the files that I attached. Please see  screenshot below:

    Can you check your test submission email and scroll down if you see the attachments above? Can you also send a screenshot of all the attachments like the sample I gave above? This guide will show you how to do that.

    As soon as we hear back from you, we can move forward with a solution.

    In the test email there are no attachments

    Question : Is there any way to resend the email with the attachments to previous people who submitted it ?

    Also in the first test I did originally it had the links on the form but they were not attached like in your example. I am able to click on the links and get a downloaded item but for others who are using the same form with links it asks them to join Jotform and will not allow the link to work for them.

    My colleague presses the links and gets directed to Jotform. This is why I would like the attachments on the email instead to avoid this.

    Hi Matt,

    if you want to resend the email, then you can create a send email button in the Jotform Table. Adding an Email Button to your Jotform Table is easy. Let me show you how:

    1. On your My Forms page, select your form and click on Submissions at the top of the page.
    2. In Jotform Tables, click on the Add button at the end of the rows, and go to the Buttons tab.
    3. Now, select Send Email, click on Next, and select the Email template.
    4. Now, just click on Create and you're done.

    Now, when you click on the Send Email button, an email that includes the submission information will be sent to the email address you selected.

    From what I understand on your second question, your approvers need not have a Jotform account in order to approve submissions, is that correct? If so, the approvers require not be Jotform users. You can input any email address to assign them a role in your workflow. You can also disable the 'Require Login to Approve' option. This option is enabled by default. Let me show you how to disable it:

    • In Approval Builder, click on one of your approver fields, and then click on the Gear icon to open Approve and Sign Properties.  
    • Under the General tab, scroll down and disable or enable the Require Login For Approver option. That's it.

    However, approvers who do not have an account would not have access to the form's Inbox. Instead, they will be redirected to a page where they can approve or deny only. This is what it looks like on their end:

    Good Evening ,


    I created the email but it does not attach the uploaded documents and PDF's,

    I received the submission form but what I want is the approved page and the original PDF's uploaded to be attached.

    I am asking my colleague to try the links now after I made it not mandatory to sign in. but she says it is still asking her to log in to Jotform.

    What I need is the submitter to be able to get the attachments again after the approval.

    For example here is the process :

    1. The property Manager submits documents for the Deposit Accounting to be done for the past resident. This workflow goes to the regional manager.
    2. Regional Manager reviews the items submitted either by image or PDF.
    3. Regional Manager Approves the documents submitted.
    4. Email goes to the originator or property manager with the attachments and approval page so they can upload this into our Yardi system for our accounting team to review and approve the refund to the past resident.

    This current issue with the managers receiving only a approval email with no attachments and only links ( that need them to sign in and see ) is making this process more difficult for us and I really need assistance to fix it before more managers keep having this same problem.

    Paolo,

    I dont think your understanding my issue. My number is 305-801-8415 or we can meet by zoom or teams. I am not worried about the approvers I am trying to see the issue for when the property manager gets back the items . It is confusing them .
