Create process flow for each form submitted

    I found a help article about creating process flows for a form (not approval process) and the link provided by support with a workaround no longer works so I'm asking here. :) I'd like for all client inquiries to populate a jotform and then move the jotform card through different status phases to ensure all of the proper follow up actions are taken. I figured out a way to add check boxes to the results card in tables with different status but I think it will be hard to scale this as a solution. How can I create a process flow for each jotform received?

    thanks so much for the response! The different steps that each order goes through once a form is submitted:

    • new order submitted (when someone submits a form)
    • proposal created
    • invoice sent
    • gift created
    • label created
    • gift mailed/delivered
    • order closed

    Hello Susan,

    I got each stage of your workflow. But when the form is submitted, could you please confirm who is involved in the remaining stages? Do you want to use one form for all of these stages? Who is involved in each stage? Can you please clarify the following:

    1. After you submit the form, a proposal will be created; how did you want this proposal to be created? Did you want to include another form in this case, or is it only within the same form, and will the proposal be created in PDF format? 
    2. We will take your response on how you want the proposal to be created and see if we can add a condition to trigger the invoice. But would you like the invoice to be sent once right after the form has been submitted? 
    3. Could you please specify where the gift created, label created, and gift mailed/delivered will be sent? Or who is involved in these stages?

    Hi Mary! Yes, using the same form for each stage. I don't need automation as I will be integrating the jotform results into Shopify where I will then create the customer, draft the order, integrate with PirateShip for label creation and then send the invoice. I'm looking at jotform to help me stay on the top of the stages for each order by physically moving each form from status to status and be able to filter by status and due date in the grid view. I will be the only one doing this.

    I'm able to do this in Airtable but I'd like to use jotform if possible. Please see image below. Thank you for your help!

    Hi Susan,

    A similar table view can be done by using the Kanban view. As for your process flow, this is best done with the Approval flow, but it can also be done by using conditional logic to update, for example, a dropdown field status on your form. Unfortunately, it's not indicated on your response on how these steps transition to one another. However, you may consider getting started and if there are any process you'd like to do but can't, we'll be able to guide you through.
