How to run a report for submissions across all 5 forms linked in Tables

    Hi, I have 5 registration forms for different events. One of the fields on each form is Department. I can easily get reporting on how many departments are represented in each's form's submission table.

    If I want to more easily see how many are represented across all 5 forms, can I link the tables? And if so, how would I do this?


    Here are the 5 forms, and the common field is Department:

    Hi April,

    Thanks for reaching out to Jotform Support. Unfortunately, it is not possible to link specific fields from different forms to in one submission table. However, you can link the submission tables of all forms in one table. Let me show you how:

    1. In Submission tables, click on the +Add Tab.
    2. Select tables and click on Next.
    3. Click on Connect to form and click on Next.
    4. Select the form and columns you want to include and click on create.

    Hi, thank you for your reply. I know how to link tables, I'm just wondering if, when all 5 of my tables are linked in this way, if there's a way to analyze the data across all 5 tabs by the Department field. For instance, how many people from the Engineering department registered across all 5 linked forms? If so, how would I do this?

    Hi April,

    Unfortunately, it is not possible to get data from different forms and their own submissions to be shown in just one report or analysis. Each form will have its own chart or report data. If you need to get a comparison or an overall summary from different submission across five forms, you still need to view each form submissions for each of the 5 forms individually. From there, you can use an external source to calculate their total, like Microsoft Excel or anything similar.

    While the feature you’re looking for isn’t currently available, rest assured we’re always working to add new services and features to Jotform. I've gone ahead and escalated your request to our Developers. When or if it's implemented depends on their workload, how viable it is, and how many other users request it. If there are any updates, we’ll circle back to this thread and let you know.

    As an additional workaround, you can do the steps previously mentioned by my colleague and combine the submission using the Combine Submissions tool. Once you've combined the information you need, you can download the file as CSV.
