Approval Flows: PDF report is not attached to the emails

    Hello,

    Our incident report form email used to include a pdf of the report. recently it stopped including. I have confirmed that of the email settings of the approvals workflow, the setting is active to include a copy of the form in the email, but the issue persists.

    Hi BlueStoneProp,

    Thanks for reaching out to us for help. Is this the form in question? I see that the Approval Flow setup has many Email elements. I checked each Email element's settings and I don't see the PDF report setup as an attachment. Can you please check and confirm each Email element settings on your end? Here's how:

    1. Click on the Email element and select the Envelope icon.
    2. Go to the Advanced tab.
    3. Toggle on the Send Submissions PDFs.
    4. Select the document and click Save.

    Please make sure to check all the Email elements on your workflow and enable the PDF attachment.

    Hello.

    Please note, this was already initially set up and functioning properly.

    With that said, prior to contacting support I went in and flipped the "send submission PDFs" switch on all these and ran a test which failed.

    For good measure, following your response I went back in and step by step, initiated "send submission PDF's" and saved. Then went back in and found that all defaulted to the inactive state.

    Please review. Feel free to run a test using our form.

    Hi BlueStoneProp,

    I checked all the email elements on your approval flow again but the PDF report attachment is not enabled. Can you confirm if you selected the document when you enabled the PDF attachment? Check the screenshot below:

    However, I also see that you enabled the submission files to be attached. To be sure, is your goal is to attach the files that were uploaded to your form by the form respondents? If so, I see that it is currently configured correctly. However, on some of the submissions, the total file size of the images/document exceeded the 5 MB attachment limit.

    Please note that if the total file size of all the attachments reaches 5 MB, the files will no longer be attached. This is a limitation set by our email service provider. So, you may be able to override this limit by setting up SMTP on your account to send your form emails using your own email server.

    Can you confirm if the affected submissions' total file size attachments did not exceed 5 MB? If the file size in the affected submissions is less than 5 MB but is still not attached, can you confirm the URL of the form?

    Hello,

    Thanks for that, I was not selecting the document previously. This is likely the issue. Not sure why it reset from the initial settings as the function had worked for the first 20 or so submissions using this form.

    Regardless, we will see how this works an circle back if there are any further issues.
