The Burgess Group is positioned as a boutique luxury real estate firm, so having a polished appearance and distinctive identity is important to their success. When Burgess was looking for an elegant form solution to handle client surveys, a Google search led him to Jotform.

Previously, his team had been using email and a more limited form solution to coordinate surveys and responses, but it was time-intensive, and the lack of features restricted the team’s ability to create a more personalized customer experience.

In contrast, Jotform’s simplicity, ease of use, and design aesthetics drew Burgess’s attention and led him to explore the platform further.

Finding an effective way to save time with AI

The Burgess Group has put on the Fall Festival in their Dallas community for the last three years. The event is designed for both current clients and the surrounding communities to get together and have a good time with fun family activities.

In fact, it’s been so successful that the annual event is attended by more than 500 folks in the community. With so many attendees, it’s difficult for Burgess and his team to handle event tasks, registration, and participant questions while also managing their day-to-day roles.

But one day, Burgess saw that Jotform was offering a beta version of a new AI Agent product, and a lightbulb went off. He realized the firm had a great opportunity to try out a new technology.

“I figured it can save me time by answering questions of attendees for the next event,” mentioned Burgess.

Before previous events, the team spent valuable time answering routine inquiries, such as “What activities are available for adults?,” “Will food be provided?,” and “Can my kids and pets attend?”

Burgess understood that not only would an AI Agent be able to effectively field questions like these, saving his team time, it would also help his firm stand out from the rest.

“I think it brought on a different level of professionalism to some extent . . . it’s sort of cutting edge at least. And so it puts a nice little touch to the business.”

Preparing the AI Agent for customer interaction

Before the AI Agent could start handling customer questions, Burgess had to train it. Using the Jotform Agent Builder’s wealth of training features — including personality customization, a knowledge base, conversational training, and predefined actions — he set about getting his agent up to speed.

“The agent (nicknamed Sunny) was used to handle registration and to field any questions that otherwise would take up hours, or even days, of our time,” Burgess told me. “So I trained it on the content of the Fall Festival, the requirements, our location, and more.”

He realized the more he trained Sunny on event and business details, the more the agent could resolve. And if errors cropped up for particular questions, he could go back and do a bit more training to fix them.

Burgess needed Sunny to be conversational and friendly, but also to the point, to match the vibe of their firm.

“Somewhere right in the middle (between responses that were too short or too wordy) seemed to strike a good balance between being overly conversational or being robotic. That conversational style is absolutely critical, because no one wants to be chatting with a robot,” said Burgess.

Saving time (and money) with Jotform AI Agents

Every business has different use cases in which AI can be successfully applied. But the common thread among all organizations is the need to field routine customer questions.

“I think the agent is very worthwhile. If you’re talking about a tool you would use for 6–12 months, even that requires a bit of training, it’s well worth the time; essentially, because you’re training something that will be answering 100 times the questions that you’re spending the time and training (staff) for,” Burgess said.

In addition to allowing Burgess and his staff the bandwidth to network, by answering simple queries — like “Can I bring guests to the event?” — Sunny saved them an estimated $200 to $400 during the Fall Festival event.

It’s a modest amount, but it makes a big difference for a small business. It’s easy to envision thousands in savings when an agent is scaled across multiple events per year — and that’s without even taking into consideration the time freed up for the team to pursue more business-forward conversations.

“This is sort of the wave of the future, and the direction that everything’s going,” Burgess said. “In our industry, but really every industry, we’re gearing towards gaining that efficiency that will be required as AI comes to market, so we can provide more value to the client.”
