Coppal House Farm Craft Fair Application
Use this form to apply for all of our 2025 Craft Fair dates. Read each section carefully. We look forward to receiving your application.
This application is for craft & artisan vendors including food products not mean to be eaten on site. If you are selling food products meant to be eaten on-site, you would fill out our food vendor application which can be accessed at www.nhsunflower.com.
About our Events
Thank you for considering Coppal House Farm as one of your vending locations this upcoming season. Coppal House hosts it's annual Sunflower Festival from the last weekend in July through the first weekend in August, which has seen an average weekend attendance of 3-4000 people, and it's annual Corn Maze craft fair in the middle of October, which averages 1500 people for the weekend attendance.
It is very important you be detailed on your application and tell us what makes your products special! We get over 100 applications every year for a limited number of spaces. We wish we could accept everyone, but we need to make sure each vendor has the best opportunity for success, which is why we do not accept on a first come first serve basis. We accept vendors based on what will best diversify the fair and allow for the greatest chance of vendor success.
Application Deadlines
Responses will be collected until February 28, 2025 for first selection and then on a rolling basis afterwards if there are any spaces left. Applications will be reviewed by our team and notification will be sent out regarding acceptance by March 15, 2025.
Selection Criteria
All items MUST be handmade by you the vendor. There will be no resale of wholesaled items or commercial items such as Pampered Chef, Scentsy, etc. Items that are handmade from raw product are valued more highly than purchased and assembled items when comparing vendors for selection. Applicants are accepted based on Quality & Originality of Product & Design, and What Will Enhance Craft Fair Diversity. Preference is not given for past attendance.
Vendors are expected to only bring products listed on their applications and may be asked to remove certain products from their table at Coppal House Farm's discretion.
Space Info
10'x10' Outdoor space on grass, gravel and dirt with no electric hookups. Tents are strongly encouraged, but not required. If you choose to use a tent, weights are REQUIRED at 40 lbs per leg. Those setting up next to our permanent fence should be tying their tent to the fence. You are responsible to pay for damages to someone else's tent if your tent damages another person's tent or inventory. A vendor map will be send out to accepted vendors prior to the event and we will have staff available to greet you and assist you in finding your location.
Attendance
Vendors are expected to stay in place for the duration of our open hours regardless of if you sell out of product, setup begins at 8 am (no earlier) and breakdown starts at 6 PM. If you are unable to attend the event, you MUST notify Meghan Kelley as soon as possible prior to the event at 978-808-5901. Violating either of these rules will result in forfeiture of future spaces and you will not be invited back.
Vendors will receive wristbands for each day to ensure the ability to come and go as needed. Please understand these wristbands are meant for people working the booths and are not intended to be handed out to general attendees for the event.
Stall Fees - Required AFTER confirmed acceptance
Sunflower Festival - $200 per weekend, Corn Maze - $100 for the weekend. You must apply for a full weekend, applications are not accepted for a single day of vending.
Insurance & Licensing - Required AFTER confirmed acceptance
Submit a $1 million liability insurance certificate naming Coppal House Farm as an additional insured via email to info@coppalhousefarm.com . ACT Insurance has put together a discounted rate for this event. (ACT info will be sent following acceptance of vendors) Submit a food service license if you sell prepared foods (ie Jams, Sauces, etc)
Media Release
By submitting this application and participating in an event at Coppal House Farm, vendor agrees to the following statement: I hereby give my consent to all photographs, audio recordings, and/or video recordings taken of me or my staff. I understand that any such photographs, audio recordings, and/or video recordings become the property of Coppal House Farm and may be used by Coppal House Farm, or others with their consent, for promotional purposes determined by Coppal House Farm in broadcast and media formats now existing or created in the future.
After submitting an application:
1. You will receive an email confirming receipt of your application 2. Our team will review all applications by March 15, 2025 and select the applications that meet the following criteria: Quality & Originality of Product & Design, and What Will Enhance Craft Fair Diversity (previous attendance does not guarantee you a space) 3. Once our selections have been made, you will receive an email confirming a stall space or declining your application. 4. Accepted vendors will be required to send their Certificate of Liability, stall fees, & food license (if applicable) within 30 days of their acceptance. 5. Do not assume you have a space by simply submitting this form

Vendors accepted from each category will exemplify the term hand-crafted. When evaluating submissions, items will be compared for quality and craftmanship. For example, manupulating materials to create an item is higher quality than purchasing predone materials such as charms, beads, or wood rounds. If you sell items from multiple categories and some do not meet the standards of quality and craftsmanship in that category, you may be asked to not bring those items.

We have limited parking behind the craft area and those with handicap stickers will be given preference for those spaces. We can fit almost every vendor car with very few having to park in the customer parking lot.
